Key Responsibilities:

  • Front Desk Management:
  • Greet and assist visitors, clients, and employees promptly and courteously.
  • Manage incoming calls, direct them to the appropriate personnel, and handle inquiries professionally.
  • Visitor Coordination:
  • Maintain a log of all visitors and ensure adherence to security protocols.
  • Guide visitors to the appropriate locations or personnel.
  • Scheduling and Appointments:
  • Schedule and manage appointments, meetings, and conference room bookings.
  • Notify staff of visitor arrivals and appointment reminders.
  • Administrative Support:
  • Handle incoming and outgoing mail, packages, and courier services.
  • Maintain and organize the reception area to ensure a neat and welcoming environment.
  • Record Management:
  • Maintain accurate records for visitors, deliveries, and other administrative tasks.
  • Assist in filing and retrieving documents as needed.
  • Communication Support:
  • Distribute internal communications and announcements.
  • Provide basic information about the organization and its services to visitors and callers.

Qualifications:

  • Education: High school diploma or equivalent; additional certifications in Office Management or Customer Service are a plus.
  • Experience: Prior experience in a receptionist or customer-facing role is preferred.
  • Technical Skills:
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with phone systems and office equipment.
  • Language: Fluency in Arabic is required; proficiency in English is a strong advantage.
