Description:
Local and International Procurement:
- Assist in purchasing materials, supplies, and equipment from both local and international markets based on the organization’s needs.
- Gather and compare quotes, proposals, and purchase terms from multiple vendors.
- Assist the Procurement Specialist in evaluating and negotiating vendor contracts to secure favorable terms for price, quality, and delivery.
Purchase Order Management:
- Execute the purchase of goods or services that have been approved by management, ensuring timely placement of orders.
- Track inventory levels and submit purchase orders to maintain adequate stock while avoiding overstock situations.
- Follow up on orders with vendors, ensuring timely delivery of goods and services as per contract terms.
Vendor Relationship Management:
- Maintain positive and productive relationships with both local and international vendors.
- Conduct regular market research to identify potential suppliers and new sources for procurement.
- Assist in resolving any issues or discrepancies related to vendor performance, product quality, or delivery timelin
Inventory Control & Record Keeping:
- Monitor stock levels and ensure that procurement aligns with the organization's operational needs.
- Maintain accurate and up-to-date purchasing records, including purchase orders, invoices, delivery schedules, and contract agreements.
- Provide regular updates to the Procurement Specialist or Purchasing Manager on order statuses, inventory levels, and vendor performance.
Market Research & Cost Optimization:
- Conduct market research to identify the best deals and ensure cost-effective purchasing strategies.
- Assist in identifying opportunities for cost savings by negotiating better deals with suppliers or exploring alternative vendors.
Administrative Support:
- Assist in preparing and processing purchase requisitions and invoices.
- Coordinate with internal departments to ensure that procurement requests align with organizational needs and budgets.
- Assist in managing procurement documentation, ensuring compliance with company policies and procedures.
Required Skills & Qualifications
Technical Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and procurement software tools.
- Knowledge of purchasing principles, vendor management, and procurement processes.
- Familiarity with local and international procurement regulations and best practices.
Soft Skills:
- Communication Skills: Strong interpersonal and communication skills to interact effectively with vendors and internal teams.
- Negotiation Skills: Ability to negotiate contracts and pricing with suppliers to secure the best deals.
- Time Management: Excellent organizational and time management skills to handle multiple procurement tasks efficiently.
- Problem-Solving: Ability to resolve issues related to order delays, supplier discrepancies, and inventory shortages.
Education & Experience
- Bachelor’s degree in business, Supply Chain Management, or a related field.
- Minimum 1 years of experience in a procurement or purchasing-related role.
- Experience in both local and international procurement is preferred.
- Familiarity with procurement software and inventory management systems is an advantage.
