Project Manager / Project Leader

 

Description:

The Project Manager / Leader / Shutdown In-charge for shutdown Jobs in refinery, fertilizer, and petrochemical industries is responsible for overseeing the entire lifecycle of shutdown projects on behalf of the contractor. This role entails meticulous planning, execution, and completion of shutdown activities within client facilities, ensuring adherence to stringent safety, quality, and timeline standards. The Project Manager will collaborate closely with clients, subcontractors, and internal teams to ensure successful project delivery, maintaining clear communication and alignment throughout the shutdown process.

 

Key Responsibilities

 

Project Initiation

  • Engage with clients to understand project scope, objectives, and requirements.
  • Develop comprehensive project plans, including schedules, budgets, and resource allocations.
  • Conduct initial site assessments and feasibility studies.

 

Planning and Coordination

  • Create detailed work breakdown structures and project timelines.
  • Identify and procure necessary resources, including personnel, equipment, and materials.
  • Develop risk management plans and contingency strategies.
  • Coordinate with internal teams and subcontractors to ensure alignment and readiness.

 

Execution

  • Oversee all shutdown activities, ensuring they are executed according to plan.
  • Implement and enforce safety protocols and quality standards.
  • Manage day-to-day operations, providing guidance and resolving issues as they arise.
  • Ensure effective communication and coordination among all parties involved.

 

Monitoring and Control

  • Track project progress against the established schedule and budget.
  • Conduct regular site inspections and audits to ensure compliance with project specifications and standards.
  • Manage changes to the project scope, schedule, and costs using appropriate verification techniques.
  • Provide regular updates and reports to clients and senior management.

 

Financial Management

  • Monitor project expenditures and ensure cost control measures are in place.
  • Approve invoices and manage financial transactions related to the project.
  • Prepare and present financial reports, and log sheets to stakeholders.

 

Stakeholder Management:

  • Maintain strong relationships with clients, ensuring their needs and expectations are met.
  • Facilitate regular meetings and communications with stakeholders to keep them informed of project status.
  • Address any client concerns or issues promptly and effectively.

 

Project Closeout:

  • Ensure all project deliverables are completed and meet client expectations.
  • Conduct post-project evaluations to identify successes and areas for improvement.
  • Prepare final project documentation and reports for client handover.
  • Ensure all contractual obligations are met and closeout processes are completed.
  • Settlement of additional jobs, Submission of Invoice and its follow up till the receipt of money.

 

Inventory Management:

  • Responsible for required material mobilization, utilization, and demobilization from the site.
  • Accountable for materials consolidation report with store management at yard as well as at the site.
  • Ensure effective closeout of all aspects in the SAP system upon job completion.

 

Qualifications and Skills

 

  • Bachelor's degree in Engineering, Project Management, or a related field.
  • PMP (Project Management Professional) certification or equivalent is preferred.
  • Minimum of 12+ years of experience in project management, with a focus on industrial shutdowns or similar projects.
  • Very good knowledge of reactors, furnaces, columns, vessels, Exchangers, Fin fan pipelines, valves, tanks, insulation, refractory, scaffolding, painting, and blasting.
  • Hands-on experience in planning, high-pressure water jetting, rigging, NDT, hot jobs, QA/QC documentation, and manpower handling at site.
  • Strong understanding of shutdown planning, execution, and management methodologies.
  • Excellent leadership, communication, and interpersonal skills.
  • Proficiency in project management software and tools (e.g., Primavera P6, MS Project).
  • Strong problem-solving abilities and the capacity to make critical decisions under pressure.
  • Knowledge of relevant health, safety, and environmental regulations.
  • Strong client-facing and relationship management abilities.
  • Excellent leadership, communication, and organizational skills.
