Job Position HR & Admin Executive - KSA
Reporting to Senior HR Manager
Purpose: The purpose of this role is to anticipate, identify and facilitate all aspects of HR & Administration tasks for internal & external employees of KBC Technologies, ensuring that all processes are in alignment with the business objectives & strategy of the company.
KRAs
- Accurately prepare Employment Agreements in the appropriate template
- Release the Employment Agreements to new employees, ensure they are signed and filed in the HR Records
- Coordinate and arrange medical coverage for KBC Technologies employees
- Coordinate with PRO Services and manage the Visa process end to end for KBC Technologies employees.
- Coordinate and manage the Background Verification Process to obtain the Report from the Background Verification Vendor
- Monthly timesheet collation and processing for the KSA Division. This task is targeted
- Collation and coordination of Company Biometric Data – KSA Division
- Collation of Data and Processing of Monthly payroll for the KSA Division.
- Monthly preparation of Pay slips for the KSA Division
- Filing of all the documents in the appropriate folders and input of data and Ensure that Employee records are maintained and up to date.
- Update and maintain all HR Trackers and to be shared with Senior Management as and when required.
- Prepare HR official notices and letters as and when required. Prepare & post Recruitment Advertisements for available KSA positions on all Social Media Outlets.
- Assisting with the screening of CV’s.
- Assisting the Operations Department with the preparation of onboarding documents.
- Liaise / coordinate with employees in a timely manner to resolve any pending issues / concerns they may have Coordinating with the Government Liaison Officer of Nahr Al Mashriq for the processing of Labour permits and visa applications.
- Complete employee exit formalities as and when required and informing the concern department on the same.
- Ensure legal compliance throughout all Human resource management activities for the KSA
- Other HR and admin duties may be assigned by Senior Management as and when necessary. KPIs
- Offer letters to be released within 8 – 12hrs on receipt of requests from the delivery team.
- Receive signed copy of offer letter within 24hrs of release to the consultant/internal candidate
- Visa Management (end to end): Efficient Management ensuring that there are no delays due to admin errors.
- Coordinate the approval process for Timesheets: - 92% Collation of approved timesheets by 2nd of every month - 96% Collation of approved timesheets by 5th of every month
- Collation and Distribution of Biometric data by 1 pm 1st of every month
- Batches Payroll Processing: - Internal Staff completed by 2nd of Every month - External Consultants processed in batches with last batch no later than 5th of Every month
- Maintain 100% accuracy when updating employee trackers & records.
- Ensure full customer satisfaction when handling employee enquiries & grievances Competencies
- 7 years minimum proven experience as an HR officer / executive.
- Knowledge of HRIS systems and databases.
- Excellent communication skills, listening & presentation skills.
- Competence in effectively building and managing interpersonal relationships at all levels of the Company.
- Prefer Indian Arab speaking candidate and available in country only with iqama transfer
- In-depth knowledge of KSA labour law and HR practices.
- Degree in Human Resources or related field.
