Description:
Qualifications:
- Applicants are required to have a Bachelor degree, Secretarial, Business Administration and Secretarial, Office Administration and Secretarial, Office Management, Public Administration, Business Administration or a related specialty.
Experience:
- Two years of experience (at least) in as an Executive Secretary, Office Manager or related position.
Skills:
- Preparing reports and presentations.
- Effective communication, and setting work priorities.
- Fluent in English language.
- The initiative.
Responsibilities:
- Complex diary/calendar management.
- Organizing travel itineraries, visa applications, and handling expenses.
- Meeting facilitation, including minute-taking and composing agendas.
- Performing highly confidential administrative duties.
- Composition, editing, and review of confidential correspondence.
- Compilation of statistical information, reports, and presentations.
- Office management and other secretarial duties as required.
- Work to implement policies and procedures for issuing documents, workflow, filing, organizing supplies, maintaining records, and other clerical services related to the tasks of the administrative unit.
- Implementing various administrative and office tasks for the administrative unit, including photocopying, printing, receiving, and arranging messages, in addition to ensuring the availability of office and technical supplies in the direct manager.
- Receiving incoming correspondence to the administrative unit and preparing appropriate responses whenever possible, directing issues that require action by departments/divisions and following them up to ensure their effective completion.
- Prioritizing reports and decisions that need to be reviewed by the direct manager.
- Issuing periodic reports for the work of the administrative unit.
- Using various software, including word processing, spreadsheets, databases, and presentation software.
- Reading and analyzing incoming memos, submissions, and distributing them as needed.
- Performing office duties that include ordering supplies and managing a records database.
- Opening, sorting and distributing incoming faxes, emails, and other correspondence.
- Provide general administrative support.
- Making travel arrangements for management.
- Ensure effective communication with peers and managers, and show openness to directions and feedback.
- Execute the planned activities to meet the operational and development targets as per delivery schedules.
- Solve any related issues arise and escalate any complex operational problems.
- Execute and comply related tasks as per defined policies, procedures, and work instructions
