Job Responsibilities:
Calendar and Schedule Management:
- Manage the executive's calendar, scheduling meetings, appointments, and travel arrangements.
- Prioritize and plan meetings, ensuring efficiency and alignment with financial goals.
Administrative Support:
- Provide high-level administrative support to the executive, including document preparation, email management, and correspondence.
- Maintain confidentiality and handle sensitive financial information with discretion.
Communication and Correspondence:
- Draft and review financial documents, reports, and presentations.
- Facilitate communication with internal and external stakeholders, including clients, investors, and financial partners.
Data Analysis financials and Reporting:
- Conduct financial research and analysis to support decision-making.
- Generate financial reports and dashboards for executive review.
- Manage and monitor executive's expenses, ensuring adherence to budgetary constraints.
- Prepare financial reports, statements, and analysis as requested.
- Handle financial data, including invoices, receipts, and expense reports.
File and Record Management:
- Maintain organized records, both physical and electronic.
- Ensure quick retrieval of important documents.
Technology and Software Proficiency:
- Utilize financial software and tools for budgeting, expense tracking, and financial analysis.
- Proficiency in spreadsheet software (e.g., Microsoft Excel) for financial modelling and reporting.
Time Management and Prioritization:
- Manage multiple tasks and priorities, ensuring deadlines are met.
- Help the executive optimize their time allocation for tasks.
Team Collaboration:
- Collaborate with other members of the executive team and department heads to align strategies with goals.
- Perform other duties and tasks as assigned by the executive to support their objectives.
Qualifications:
Bachelor's degree in business administration, finance, accounting, or a related field.
- Proven experience as an Executive Assistant or similar role.
- Strong financial knowledge and the ability to work with financial data.
- Excellent communication and interpersonal skills.
- Proficiency in office productivity tools.
- High level of confidentiality and professionalism.
- Exceptional organizational and multitasking abilities.
- Fluent in English
