Document Controller

 

Description:

PRIMARY DUTIES & RESPONSIBILITIES:

1. Handling intake, scanning, verification, and storing documents, Filing and archiving relevant documentation.

2. Retrieving files for other employees and customers when needed.

3. Designing templates for documents, file types, and document databases.

4. Checking and editing documents for accuracy and compliance.

5. Controlling the flow of documents in and out of the department.

6. Reporting errors or developments regarding document storage.

7. Ensuring the secure destruction and disposal of sensitive documents.

8. Updating and maintaining document management systems and physical records.

9. Maintaining the security of confidential documents.

10. Assisting employees with accessing documents through our document management system.

11. Check for accuracy and edit files, like contracts

12. Review and update technical documents (e.g. manuals and workflows)

13. Distribute project-related copies to internal teams

14. File documents in physical and digital records

15. Create templates for future use

16. Retrieve files as requested by employees and clients

17. Manage the flow of documentation within the organization

18. Maintain confidentiality around sensitive information and terms of agreement

MINIMUM QUALIFICATION & EXPERIENCE:

The successful candidate is likely to meet all of the following criteria:

Essential

19. A bachelor's degree in business administration, library management, or record management.

20. 2 years’ experience in document management, archive management, or records management. Must have worked within a technical office.

21. Knowledge of document management systems like Sharepoint, OnlyOffice, DocuWare Cloud, Rubex.Excellent written and spoken English. Arabic language as well.

22. Proficient in using MS Office tools (Excel, Word, Power point), Outlook, MS Project, AutoCAD and Adobe Acrobat PDF.

23. Top-class typing and report writing skills.

24. Detail-focused document organizing abilities.

25. Able to proactively manage database changes using software management systems.

26. Time-oriented approach to handling queries and tasks.
