Role Description

This is a full-time on-site role for an Administrative Assistant at Labiba.ai. The Administrative Assistant is responsible for providing administrative support to the organization. This includes managing calendars, scheduling appointments, answering phone calls, and maintaining records and files. The Administrative Assistant will work closely with other members of the team and other departments within the organization to ensure that administrative tasks are completed efficiently and effectively.

 

Key Responsibilities

 

Human Resources Responsibilities:

  • Renew employee contracts.
  • Issue and manage medical insurance.
  • Renew residence permits.
  • Renew work permits.
  • Issue visas.

Billing and Collections:

  • Manage invoice submissions and collections with clients.

Client Contract Management:

  • Prepare and sign contracts with clients.

Issuing Bank Guarantees:

  • Process and issue bank guarantees as required.

Government Documentation:

  • Update and renew official government documents.

Government Platform Subscriptions:

  • Manage and renew subscriptions to government platforms.

Proficiency in Etimad Platform:

  • Maintain full knowledge of the Etimad platform.

Invoice Submission via Etimad:

  • Submit invoices for various governmental entities through the Etimad platform.

Document Authentication:

  • Authenticate government documents through the Chamber of Commerce portal.

 

 

Qualifications

  • 1-2 years of experience in an administrative role
  • Administrative Assistance and Executive Administrative Assistance skills
  • Phone Etiquette and Communication skills
  • Proficiency in MS Office (Word, Excel, Outlook)
  • Ability to multitask and prioritize tasks efficiently
  • Strong written and verbal communication skills in English
  • Experience with scheduling and calendar management tools is a plus
